Enrolment Officer (permanent, part-time)
Long Bay College is a co-educational secondary school located in a peaceful location near Long Bay Beach and the new Long Bay Village. The school opened in 1975 and has approximately 2000 students with 180 teaching and support staff combined.
We are seeking an organised, friendly and detail-focused Enrolment Officer to manage and coordinate our student enrolment processes. This role is pivotal in ensuring a seamless and welcoming experience for prospective students and their parents and whānau, and in supporting the accurate, timely onboarding of new students across the school year.
About the role
This is a term time only role (40 weeks per year), working 20–30 hours per week (depending on workload throughout the year). There is some flexibility in setting work hours and days. The position reports to the Principal and Deputy Principal (Enrolments) and sits within Grade 3 of the Support Staff in Schools’ Collective Agreement (SSSCA) (step dependent on experience).
Key responsibilities
- Receive, process and track enrolment applications, ensuring documentation is complete and accurate (including zoning and supporting evidence).
- Enter, update and maintain student information in Kamar, ensuring data integrity and confidentiality at all times.
- Coordinate enrolment interviews and entrance testing (including ELLS testing as required), with clear communication and follow-up with families.
- Support enrolment-related events such as Open Evenings, Year 8 Day and school tours (including rostering and logistics support).
- Manage administrative processes including out-of-zone ballots, enrolment reporting and record management in line with school procedures and the Privacy Act 2020.
- Liaise with key staff across the school (including Deans, Learning Support/SENCo, ELLS, Medical Centre and SLT) to support successful transitions and identify additional needs.
Skills and attributes
- High attention to detail and accuracy with documentation and data entry.
- Strong organisation skills and the ability to manage multiple tasks, schedules and deadlines.
- Warm, professional communication style and confidence working with students, parents and whānau.
- Strong IT skills (including Microsoft 365) and the ability to learn and use school systems such as Kamar.
- Sound judgement and discretion when handling sensitive and confidential information.
- Flexibility to support occasional events outside standard office hours (e.g., Open Evenings).
